User roles

Nova provides five distinct roles with different permission levels:
Full system accessOwners have unrestricted access to all Nova features and settings:
  • Team management (invite, remove, change roles)
  • Company settings and integrations
  • Complete Nova feature access
  • Billing and invoice management
  • All candidate and job data
Use this role for company founders and executives who require full system control.

Inviting team members

Navigate to team settings

Go to Team in your Nova dashboard.

Start invitation

Click “Invite Team Member”.

Enter details

Enter the email address and select the appropriate role.

Send invitation

Click send to deliver the secure invitation link.

Managing roles

Who can change roles:
  • Owners can change any role
  • Admins can change non-Owner and non-Admin roles
  • Other roles cannot change roles
How to change roles:
  1. Locate the team member on the Team page
  2. Click the role dropdown
  3. Select the new role
  4. Changes apply immediately

Best practices

Start with minimal access and expand as needed:
  • New hires: Begin with Viewer role
  • Recruiters: Assign Recruiter role for full Nova access
  • Managers: Use Admin role for team oversight
  • Finance: Use Accounting role for billing-only access
Maintain proper access controls:
  • Review roles quarterly
  • Remove former employees immediately
  • Limit Owner role to essential personnel
  • Use Admin role instead of Owner when possible
Organize roles by function:
  • Hiring Team: Recruiter roles for day-to-day work
  • Management: Admin roles for oversight and settings
  • Leadership: Owner roles for full system control
  • Finance: Accounting roles for billing management

FAQ

Yes. You can assign Owner role to multiple team members. However, you cannot remove or demote the last Owner to prevent system lockouts.
Role changes take effect immediately. The user will see updated navigation and permissions on their next page load or action.
Yes. Users can see their current role on the team page and will only see features and pages they have permission to access.

Team management is currently handled individually per member. Contact support if you need bulk role changes for large teams.
Use the most restrictive role that allows team members to do their job effectively. You can always expand permissions later.
